Evergreen Meadows Homeowners Association
Board Meeting, 3/22/2007

Present: Craig Cox, Gayle Gordon, Chad Gruhl, Nancy Nagel, Vicki Coppage, Christy Vandine
  1. Review and approval of January minutes.
Move to approve minutes by Gayle, second Christy. Approved
  2. Fire Department Mailer
Received call noting addressed to “Mr”uniformly; others did have it addressed to the “Mrs.” i.e., addressed to only one name apparently. Please make note for Meadowlark, download most recent mailing list from Jeffco Assessor. Send to “Last Name” residence?
    • Notes:
    • We did not get a heads up on mailer
    • Need a correction on majority of votes (2/3)
    • Board review of ballots? Gayle moved that the board review the ballots, Chad second. Approved.
    • Engaging our attorney in matter; keep on retainer?
  3. Use of Ballfield
Question re: use of ballfield by kids lacrosse team. Are there liability issues? Have release form. Action: Contact attorney for designing a release form that is binding.

  4. Covenant Issues
Question re: purchasing home for day care center. Clearly against covenants. Plus once it is opened up to a business such as this, the floodgates are opened.
Matt’s tree service - Has vehicles lined up in driveway that there have been complaints about; they do not violate covenants as they are all functional.
Question re: horse property on Gray Fox from realtor. It’s against covenants.

  5. Mail collection at post office
EMHA mail. Christy will pick up mail and pass along to Chad.

  6. Other issues
    • There will be a written response sent to homeowner who sent a letter detailing covenant violations in EM.

    • Tree service contacted EMHA for work in EM. Offering discount rate on preventative spraying. Many have already contracted for service. Suggest that he advertise in Meadowlark.

    • Conservation Society is offering native grasses seed that needs to be planted in fall/winter, and by April 15. Letter with information to be uploaded to website.

    • Membership letter - hard copy to be sent to all households in EM. Some prefer to pay by check. Hope that more pay by Paypal as time goes on.

    • Current newsletter ready to go out. Thank you Christy!

    • Garage sale to be done in June? If so, need to send out newsletter in late May. Christy will check to see if printers have mock up of return envelopes from last year.
Next meeting: Thursday, May 10 (moved from May 17.
