Annual Board Meeting - October 28, 2010

Session commenced at approximately 7:10 PM
- Mark opened the meeting.
- Mark explained that the Board Meeting Minutes from July 2010 are online at the EMHA website at http://www.emha.us.
- Wayne Shephard (Evergreen Fire Rescue) and Tim Biglen (Elk Creek Fire Rescue)
- Tim explained that JeffCo has jurisdiction over fire bans and JeffCo
Department of Health has jurisdiction over slash burns. There are two
types of fires:
- Recreational Evergreen - no permit required, Elk Creek - permit required
- Slash JeffCo - permit required, Elk Creek and Evergreen - fee - slash fires are allowed 11/1 - 3/31 http://www.firewise.org is a good website for fire mitigation information.
- Good idea to use large house numbers to mark your home address.
- Judy provided the Weed Report.
- dry weeds equal fire danger
- 5 common areas in Evergreen Meadows were sprayed twice in 2010
- Contact JeffCo’s Alicia Doran to report neighbors with a weed problem - it’s good to talk to the neighbors as well
- EMHA will plan a weed education program, probably in May 2011
- We will try to link colored pictures to the emha.us website
- Judy will pursue the possibility of volume discount for Evergreen Meadows residents through LAM Tree Service
- Spring is best time to spray weeds
- Debby provided the Financial Report
- EMHA fiscal year changed to 1/1 to 12/31 last year
- Expenditures are $2,572 less than budgeted for YTD
- Total balances for all accounts 10/24/10 is $18,584.40, and she
conducted an audit of EMHA's financial records with Gary Justus on
10/24/10, and everything appears in order
- Our money market account balance is $7,252
- No large bills expected for remainder of year
- PayPal costs $1.32 for each membership due paid via PayPal
- EMHA Board Members do not get compensation for their services
- Steve provided an update for the ARB
- Five requests since July 2010 - explained that ARB guidelines are in effect to protect all homeowners
- Please be ambassadors to remind neighbors to submit approval request or alert the ARB to a project in process
- A resident requested written approval of projects in the future
- Mark provided an update for the Covenants Control
- Explained the three-step process for covenant violations
- There are four open violations in process
- He requested volunteers to assist with this process
- Nominating Committee
- We have reached a majority of Board members and a quorum of members to validate the meeting and election of 2011 Board members.
- Andy provided an update for Membership
- Andy reported 280 of 469 properties are members
- Debby provided the Communications Report
- Sound-off feature in Meadowlark got good response first round
- News and Alerts Blog has been added on website
- Debby provided the Special Events Report
- Events occurred to date:
- Easter Egg Hunt
- Community Garage Sale
- Evergreen Meadows Picnic
- Berrian Mountain Hike
- Holiday lighting contest is coming in December
- Andy provided the Landscaping Committee Report
- Clean-up day was a huge success!
- Hopefully, slash collection will be a bigger success next year.
- Mark asked for volunteers for all committees for 2011.
